Overview: 

We are seeking an experienced and highly organized Office Manager to manage all administrative operations of Pure Imagination Labs’ regional division. In addition to overseeing the daily office functions, this role will serve as a key assistant to local management, providing critical support in tasks such as calendar management, travel arrangements, and other administrative duties. The ideal candidate will coordinate closely with the finance and HR departments based at the Los Angeles headquarters, handling administrative, financial, and HR-related tasks to support the division’s goals.

Responsibilities: 

Office Administration:

  • Oversee the daily functioning of the office, ensuring a productive and efficient work environment. Manage vendor and key partner relationships.
  • Act as an assistant to local management, handling tasks such as managing calendars, scheduling meetings, and organizing travel plans and accommodations.
  • Manage calendars for the Division Manager and staff, coordinating meetings, appointments, and travel arrangements. Organize internal and external events as needed.
  • Handle all incoming and outgoing communications, including emails, phone calls, and mail. Draft, proofread, and distribute internal and external correspondence.
  • Maintain organized records, files, and documents, ensuring all administrative materials are up to date and accessible.
  • Provide general administrative support to the team, including preparing reports, presentations, and assisting in day-to-day tasks as needed.

 

Finance & HR Collaboration:

  • Assist in preparing and monitoring departmental and project budgets, tracking expenses, and maintaining accurate financial records. Generate financial reports in collaboration with the finance team at headquarters.
  • Coordinate with the finance department to process payroll and vendor invoices, ensuring timely and accurate payments. Manage employee reimbursements and petty cash.
  • Collaborate with the HR team to manage the recruitment process, from posting job listings to scheduling interviews and assisting with onboarding new hires.
  • Serve as a point of contact for staff regarding HR inquiries, policies, and benefits. Help foster a positive workplace culture and support employee engagement initiatives.
  • Ensure compliance with company policies, procedures, and local regulations. Manage the implementation of HR policies in alignment with headquarters.

 

Cross-Departmental Coordination:

  • Work closely with the finance and HR teams at the headquarters in Los Angeles to ensure smooth operations across the company’s divisions.
  • Liaise with external vendors and contractors, ensuring adherence to company procurement policies and managing service agreements.

Qualifications: 

  • Bachelor’s degree in Business Management, Finance, or Human Resources is required or equivalent combination of education and experience.
  • Minimum 2-4 years in office management, administrative support, or a similar role.
  • Solid understanding of financial management principles, including budgeting, payroll processing, and expense tracking.
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).

Additional Qualifications: 

  • Experience in managing office operations for a mid-sized company is a preferred but not required.
  • Knowledge with financial software and HR management tools.
  • Exceptional organizational, multitasking, and time management skills with the ability to prioritize effectively.
  • Strong verbal and written communication skills, with the ability to interact effectively with internal teams, external vendors, and other stakeholders.
  • Ability to handle sensitive information with confidentiality and professionalism.

 

Required On-Site: This position is required to be performed full-time at Pure Imagination Labs worksite.

Required Residence: This candidate must live or reside in the state of Kansas; or relocate within six (6) months of offered employment.

 

The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. This position is eligible for company sponsored benefits, including medical, dental and vision insurance, 401(k), medical leave, and a variety of other perks. A bonus and incentive plan may be provided as part of the compensation package, dependent on the level and position offered.
